Send video proposals clients actually open

A videography proposal template in a word processor gives you two bad options: a document so plain it reads like an invoice, or a design file so fussy that changing a line item takes twenty minutes. Neither one tells you whether the client opened it. Video production proposal software should handle the presentation, the pricing logic, and the feedback loop in the same place.

The Proposal Builder holds one proposal record and presents it three different ways. You build the content once — scope, deliverables, tiers, add-ons, terms — and choose whether the client sees a clean document, a cinematic scrolling experience, or a slide deck.

What this replaces: Document tools and design apps used as proposal software

A word processor cannot do conditional pricing. When a client wants the mid tier plus one add-on, someone recalculates the total by hand and hopes the tax line still makes sense. It also cannot tell you when the proposal was opened, so follow-up is guesswork.

A design app makes a beautiful PDF that is dead on arrival. The client cannot select anything, you cannot see engagement, and the file has no relationship to the deal, the contract, or the invoice that should follow it.

How it works

One proposal, three presentation styles

Document style is the straightforward read for a procurement contact who wants scope and numbers. Cinematic is a full-screen scrolling presentation for a brand client who responds to craft. Slide Deck is the one you walk through live on a call. The underlying content is the same record, so switching style does not mean rebuilding anything.

Everything is branded with your logo and colors, and on Pro the client-facing view carries no Video Project Pro attribution at all.

Interactive tiers and add-ons the client can choose

Build up to three packages with their own deliverables and pricing, then attach optional add-ons like additional edits, vertical cutdowns, extra shoot days, or drone coverage. The client toggles what they want and the total recalculates in front of them, including any deposit split you have defined.

You decide how much freedom to give. Flexible pricing lets the client mix tiers and add-ons. Lock Package fixes the package and suppresses add-ons. Lock Full shows the base price only. That control matters when a proposal is going to a committee.

You see when it opens and what they picked

Proposals send as a link, not an attachment, so VPP records when the client opened it and how many times. When they are ready, they confirm a selection explicitly, and you get notified with the exact tier and add-ons they chose written back onto the deal.

That confirmed selection is the handoff. The contract and the invoice both read from it, which is why the numbers on the agreement match the numbers the client actually agreed to.

Plan availability

1 saved proposal on Free · Unlimited on Pro+. The Free plan includes one saved proposal so you can see the whole flow end to end. Pro removes the limit and adds AI-drafted proposal content, white labelling, and the handoff into contracts and invoicing.

Works with

Quote Builder — The internal estimate sets the floor, so the tier prices you publish already protect the margin you calculated.

Discovery Board — Discovery notes and Mac's suggested scope drop into the proposal as a first draft in the client's own language.

Contracts & E-Sign — The accepted tier and add-ons prefill the agreement, so scope and price on the contract match the proposal exactly.

Invoicing & Payments — Deposit terms defined in the proposal become the first invoice without anyone re-entering the amounts.

Questions

Can the client accept a proposal online?

Yes. The client selects a tier and any add-ons, then confirms the selection in the browser. You are notified immediately and the confirmed scope and total are written onto the deal, ready for the contract and the deposit invoice.

Do I have to rebuild the proposal to change presentation style?

No. Document, Cinematic, and Slide Deck are three renderings of one record. You switch the style and the same sections, tiers, and pricing appear in the new format. Most owners pick a style based on who is reading it rather than what the project is.

Will my clients see Video Project Pro branding?

Not on Pro or Agency. The client-facing proposal carries your logo and colors with no VPP attribution. On the Free plan a small attribution line appears, which is how a permanently free tier stays viable.

Can I reuse a proposal for a similar project?

Yes. Save a proposal as a template with your standard sections, terms, and tier structure, then start new proposals from it. Most video businesses end up with two or three templates that cover the majority of their work.

Does the proposal track opens?

It does. Because proposals are sent as links, VPP records the first open and subsequent views. That is usually enough to know whether silence means they are still deciding or the email never got read.
