This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.

We use Your Personal Data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

  • Account means a unique account created for You to access our Service or parts of our Service.
  • Affiliate means an entity that controls, is controlled by or is under common control with a party, where "control" means ownership of 50% or more of the shares, equity interest or other securities entitled to vote for election of directors or other managing authority.
  • Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to Seymour Mac Productions Ltd., doing business as Video Project Pro, Pennsylvania, United States.
  • Cookies are small files that are placed on Your computer, mobile device or any other device by a website, containing the details of Your browsing history on that website among its many uses.
  • Country refers to: Pennsylvania, United States.
  • Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.
  • Personal Data is any information that relates to an identified or identifiable individual.
  • Service refers to the Website and any related hosted application pages, dashboards, calculators, embedded experiences, and integrations provided by Video Project Pro.
  • Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.
  • Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
  • Website refers to Video Project Pro, accessible from https://videoprojectpro.com/ (and any associated subdomains).
  • You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:

  • Email address
  • First name and last name
  • Phone number
  • Company/business name
  • Billing address (if applicable)
  • Business location (e.g., city/state)
  • Website URL (optional)
  • Any information you enter into forms, onboarding, calculator inputs, or settings

Calculator / Estimate Inputs

If you use the calculator or estimation tools, we may collect information you submit about:

  • Project type and scope
  • Deliverables
  • Shoot days/crew size
  • Timeline urgency
  • Location details (for travel calculations)
  • Other project parameters

Usage Data

Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

Tracking Technologies and Cookies

We use Cookies and similar tracking technologies to track the activity on Our Service and store certain information. Tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze Our Service.

The technologies We use may include:

  • Cookies or Browser Cookies. A cookie is a small file placed on Your Device. You can instruct Your browser to refuse all Cookies or to indicate when a Cookie is being sent. However, if You do not accept Cookies, You may not be able to use some parts of our Service.
  • Web Beacons. Certain sections of our Service and our emails may contain small electronic files known as web beacons (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit the Company, for example, to count users who have visited those pages or opened an email and for other related website statistics.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Service, including to monitor the usage of our Service.
  • To manage Your Account, including access to paid tiers and feature gating.
  • For the performance of a contract, including subscription administration and delivery of the Service.
  • To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication regarding the Service, support, account notices, billing, and security updates.
  • To provide You with news, special offers and general information about the Service unless You have opted not to receive such information.
  • To manage Your requests and provide support.
  • For analytics and product improvement, including identifying usage trends, preventing abuse, and improving performance.
  • For business transfers, as part of a merger, acquisition, restructuring, or sale of assets.

Sharing of Your Personal Data

We may share Your personal information in the following situations:

  • With Service Providers to operate the Service, monitor usage, provide analytics, support, communications, and security.
  • With payment processors (e.g., Stripe) to process subscriptions, invoices, and refunds (if any).
  • With integrations and automation tools you enable (e.g., webhooks, Zapier/Make, CRM systems). If you connect VPP to a CRM or automation platform, data you submit may be transmitted to that system based on your configuration.
  • With Affiliates under common control with the Company.
  • For business transfers (merger, financing, acquisition, etc.).
  • With Your consent for other purposes.

We do not sell your Personal Data.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy, including to comply with legal obligations, resolve disputes, and enforce our agreements.

Usage Data is generally retained for a shorter period of time, except when used to strengthen security, prevent fraud, or improve functionality.

Transfer of Your Personal Data

Your information may be processed in the United States and in other locations where Service Providers operate. Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

We will take steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy.

Delete Your Personal Data

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

You may contact Us to request access to, correct, or delete any Personal Data. We may retain certain information when we have a legal obligation or lawful basis to do so.

Disclosure of Your Personal Data

Business Transactions

If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Law enforcement

We may disclose Your Personal Data if required by law or in response to valid requests by public authorities.

Other legal requirements

We may disclose Your Personal Data in the good faith belief that such action is necessary to comply with a legal obligation, protect rights or property, prevent wrongdoing, protect user/public safety, or protect against legal liability.

Security of Your Personal Data

The security of Your Personal Data is important to Us. We use commercially reasonable safeguards to protect Your Personal Data, but no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Children's Privacy

Our Service is a business tool and is not directed to anyone under the age of 18. We do not knowingly collect Personal Data from anyone under 18; if we learn we have, we will delete it.

Links to Other Websites

Our Service may contain links to third-party sites not operated by Us. We advise You to review their privacy policies. We have no control over and assume no responsibility for third-party content or practices.

Who Operates Video Project Pro

Video Project Pro ("VPP") is operated by Seymour Mac Productions Ltd., Pennsylvania, United States. For any privacy question or request, email support@videoprojectpro.com.

Business Data You Store in VPP

When you use VPP to run your business, we store the records you create or import, including contacts, deals, proposals, quotes, contracts and signatures, invoices and payment records, projects and review files, crew members and schedules, booking calendars and appointments, lead form submissions, and email templates. You own this data. We process it only to provide the Service to you.

Google User Data

If you choose to connect a Google account in Settings → Integrations or Calendar → Connections, VPP requests these Google OAuth scopes:

  • openid and https://www.googleapis.com/auth/userinfo.email — to identify which Google account is connected and show its email address in your settings. VPP does not request your Google profile.
  • https://www.googleapis.com/auth/calendar.freebusy — to read only busy/free time blocks from your Google Calendar so your booking pages offer only times you are free. This permission returns start and end times only; it does not return event titles, descriptions, attendees, or locations.
  • https://www.googleapis.com/auth/calendar.events — used only to write: to add each client booking you receive to your Google Calendar with the client as an attendee, generate a unique Google Meet link for that booking, move the event when the booking is rescheduled, and remove it when the booking is cancelled.

Through the Google Calendar API, VPP creates, updates, and deletes only events that VPP itself created for your bookings. VPP does not use the Google Calendar API to list, read, or change your other events, and does not read their titles, descriptions, attendees, or locations through the Google connection. The Google connection is used only to read busy/free blocks and to write VPP's own booking events.

Pasted calendar feeds (separate, optional feature): if you paste a private calendar address (an iCal/ICS link) into Calendar → Connections, VPP downloads that feed directly from the address you supply. This feature does not use the Google connection or any Google token. A feed contains whatever the calendar provider includes in it, which typically means event titles, times, and details, and that is how those events display in VPP. You can connect several feeds and choose, for each one, whether it blocks booking times and whether it appears in your VPP calendar. You can remove it at any time, which deletes the stored copies of those events.

Storage and retention. Google access and refresh tokens are encrypted at rest (AES-GCM) and kept only while the connection is active. VPP stores the ID of each Google event it created so it can update or delete that event. When you disconnect, VPP revokes the token with Google and deletes the stored tokens immediately.

How to disconnect. Click Disconnect in Settings → Integrations, or revoke VPP's access at any time at https://myaccount.google.com/permissions.

Video Project Pro's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • VPP does not transfer Google user data to third parties except as necessary to provide or improve the user-facing features described above, for security purposes, or to comply with applicable law.
  • VPP does not use Google user data for advertising, including personalized, retargeted, or interest-based advertising.
  • VPP does not sell Google user data.
  • VPP does not allow humans to read Google user data unless you give explicit consent for specific data, it is necessary for security purposes such as investigating abuse, it is required to comply with applicable law, or the data is aggregated and anonymized for internal operations.
  • VPP does not use Google user data to develop, improve, or train generalized AI or machine-learning models.

Zoom

The Zoom integration is built and functional and is currently pending review in the Zoom App Marketplace; connecting is disabled until Zoom approves it. If you connect a Zoom account, VPP reads the account's basic profile (name, email, and account ID) only to show which Zoom account is connected. VPP creates a new, unique Zoom meeting for each client booking that uses Zoom, updates it when the booking is rescheduled, and deletes it when the booking is cancelled. VPP creates, updates, and deletes only meetings it created for bookings.

VPP never accesses meeting content, participant lists, chat, recordings, or transcripts from Zoom. Zoom tokens are encrypted at rest and are deleted when you disconnect in VPP or when Zoom notifies us that you removed the app. You can also revoke access at any time at zoom.us → Apps → Manage → Installed Apps.

Microsoft (Outlook and Teams)

A Microsoft Outlook and Teams integration is planned but is not currently available. VPP does not request access to Microsoft accounts today. This policy will be updated before that integration launches.

AI Features (Mac AI)

Some optional features — for example Mac AI suggestions, proposal drafting, discovery-call summaries, and audio transcription — send the specific text or audio you choose to process to third-party AI providers. Today these are Anthropic (Claude) and models from Google (Gemini) and OpenAI accessed through the Lovable AI gateway. Only the content needed for the requested feature is sent; nothing is sent unless you use an AI feature. Discovery recordings or transcripts are sent only when you request a transcription or summary.

VPP does not give AI providers permission to use your data to train their models and has not opted into any provider program that would allow it. Anthropic and OpenAI state in their commercial API terms that API inputs and outputs are not used for training. Requests to Google models pass through the Lovable AI gateway under that gateway's provider agreements, which VPP does not control. Google user data obtained through Google APIs is never sent to AI providers.

Sub-processors

We use these service providers, by function, to run VPP:

  • Database, authentication, and file storage: Supabase (via Lovable Cloud).
  • Hosting: Vercel.
  • Payments and subscriptions: Stripe.
  • Transactional email: Resend.
  • AI features: Anthropic, Google, and OpenAI (see AI Features above).
  • Integrations you enable: Google, Zoom, and any CRM or webhook destination you configure.

Data Security

All traffic to VPP uses TLS 1.2 or higher. Stored data is encrypted at rest, and OAuth tokens receive an additional layer of application-level encryption. Row-level security policies in the database isolate each account so one studio cannot read another's records. If we become aware of a breach affecting your personal data, we will notify affected users without undue delay and, where required, within 72 hours, along with the relevant authorities.

Retention and Cancellation

We keep your data while your account is active. If you cancel, you keep full access until the end of the period you paid for (or your trial). When that period ends, or a trial ends without payment, paid features turn off and your business data is retained for at least 30 days. During that time you can reactivate, or email support@videoprojectpro.com and we will send you a full export of your data (CSV and JSON). After that period, or sooner on your written request, we delete it, except where we must keep records (such as billing records) to meet legal obligations. Backups roll off on their normal schedule.

Your Rights (Access, Correction, Deletion, Export)

You can access, correct, export, or delete your personal data. Most data can be edited or exported directly in the app; for anything else, email support@videoprojectpro.com and we will respond within 30 days.

GDPR (EEA and UK Users)

Lawful basis. We process account and business data to perform our contract with you; security, fraud prevention, and product analytics under our legitimate interests; marketing email with your consent (withdrawable at any time); and records required by law to meet legal obligations. For records about your own clients that you store in VPP, you are the controller and we act as your processor.

Your rights. You may request access, rectification, erasure, restriction, portability, or object to processing, and you may lodge a complaint with your local supervisory authority.

International transfers. Data is processed in the United States. Where required, transfers rely on the European Commission's Standard Contractual Clauses (and the UK Addendum) offered by our service providers.

California Privacy Rights (CCPA/CPRA)

In the last 12 months we have collected these categories of personal information: identifiers (name, email, phone, IP address); commercial information (subscription and payment records); internet activity (usage data); professional information (business name and location); and any customer records you choose to store. We use them for the business purposes described in this policy.

California residents may request to know, delete, and correct personal information, and may not be discriminated against for exercising these rights. VPP does not sell personal information and does not share it for cross-context behavioral advertising. Send requests to support@videoprojectpro.com.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
