Your crew, their rates, and what you owe them

Crew keeps every freelancer you hire in one place: contact details, the roles they cover, and a day, half-day or hourly rate for each role.

Assign someone to a deal and their rate becomes a cost line, so your take-home is right before the shoot. Adjust it to the real invoice afterwards, log payouts, and export contractor totals at year end.

What this replaces: Crew spreadsheets and contact lists

A spreadsheet can hold rates, but it cannot put them on a deal, warn you about a double booking or remind you that someone's insurance expires next month.

In VPP the same record drives costs, scheduling and tax prep, so nothing gets retyped.

How it works

Rates that turn into costs automatically

Pick a crew member and role on the deal card and their saved rate fills in. Profit and take-home update immediately across Deals and Financials.

Paperwork, payouts and 1099 prep

Store W-9s, contracts and insurance with expiry reminders. Log payouts as you pay, then export a per-year contractor summary with missing W-9 alerts.

Questions

Can one person have different rates for different roles?

Yes. Each crew member can have several roles, each with its own rate and basis.

Does it file 1099s for me?

No. It prepares per-contractor yearly totals and flags missing W-9s so filing is quick.

Is there a free plan?

No. Video Project Pro runs a 30-day free trial with a card on file, and you can cancel in one click from inside the app at any point before it ends. There is also a Founding Member path — a 20-minute setup call, 60 days free with no card, and $29/mo locked for life — limited to the first 20 accounts.
